CONSTRUCTION ESTIMATOR COORDINATOR

Imprimis Group is seeking a motivated, detail-oriented Bid/Estimating Coordinator for our client, an engineering firm specializing in the HVAC commercial construction industry. This is a great opportunity for an experienced administrative professional with a background in commercial HVAC or construction environments. The ideal candidate will provide vital administrative support to the Estimating Department working with project managers in ensuring accurate and timely preparation, coordination, and tracking of bids and proposals.

Required Qualifications

• Minimum of 2 years’ administrative experience in a commercial HVAC or construction company.
• Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat.
• Excellent organizational and time management skills.
• High level of attention to detail with the ability to handle multiple priorities.
• Effective communication and interpersonal skills for interaction with internal and external stakeholders.
• Proven ability to work independently, problem-solve, and manage sensitive/confidential information.
• Associate’s or higher degree in business, construction management or related field preferred.

Key Responsibilities

• Coordinate the setup and submission of job requests for proposals (RFPs), including document preparation and distribution.
• Assist with scheduling and coordinating meetings and bid activities.
• Maintain and update project and field employee resumes for proposal use.
• Prepare and manage prequalification documents for upcoming bids.
• Set up and code projects in internal systems; assist with contract, bond, and insurance documentation.
• Organize and streamline operational support documents and internal workflows.
• Prepare slide presentations for executive and client meetings.
• Maintain detailed tracking spreadsheets and departmental records.
• Perform various administrative tasks to support estimating and business operations.
• Take on other related duties as assigned by management.
